Action Tracking

Hey Folks,

We are having one or two challenges regarding tracking corrective actions and improvement actions from the likes of external/internal audits, customer inspections, internal inspections, observations, investigations etc.

How do you manage yours? Do you use simple spreadsheets and a bunch of admin work or do you use software to maintain things? How do you close out and verify any actions?

We are a large organisation and I'm trying to get away from our fragmented spreadsheet system. Looking for something simple that's not overly time consuming, preferably automatic in many ways.

When I was in the Middle East I had to try and track this in 3 different countries.

In the end software was the way ahead, all users could access NCR's and could then inform the administrator (me) when they were complete. It would mark up on the system as 'compete but not verified' until I could get verification the NCR was indeed complete and I could then close it out.

All of this was online so all users (who had access and internet) could see all procedures and a whole online management system (KPI's, Annual objectives, complaints, maintenance schedules, internal disputes etc) but as administrator you could limit their actions online to view, add new, edit, delete amongst others.

It was run by a company called QShare but I am sure there would be a UK equivalent.

Cost was not too bad, limited to 50 users, maintenance etc and as consultants they also did the external audits for us.

Currently using a spreadsheet for the new job but then again it is a fairly small company as opposed to ME job

we are just a small company so actions are on a spreadsheet. I am about to publish them to the factory to name and shame which will ensure more timley actions

Hi Jack,
We also use a spreadsheet that is stored on our shared drive for all relevant managers to access and imput status of actions, every imput is regestered by the edit on the relevant cell. We are moving towards the rivo system next year which i am informed will email out action updates & follow updates staus with time scales but that remains to be seen.

BSI Entropy software. It works great for non compliance tracking, and also for metrics and such. Also very good for tracking safety concerns raised by staff. there are many others out there, go to IOSH 2013 and there'll be a dozen or more.

Havent got it yet - but I want it!

We use a software package locally called "bounce" its an action tracker system simple enough enter issue details, attach relevant docs, action against individuals, set close out date requirement, priority etc, all interested parties notified via e-mail, e-mail reminder when close out date coming up to actionee and weekly reminder whilst its overdue.

Good for site director overview reports and getting people complete their action list.

Hi Jack

Most companies I work for use a software package called Synergi. I don't think it's cheap, but it does everything you want from an action tracking and information/action/learnings point of view and we use it globally as it's internet based.
Duck tape! It's the only solution to the transit blues!

That's the thing Oilfield, our corporate HQ are about to launch Synergi, but I think it's going to take a few months yet. I'm looking for something as an interim fix for the situation we have found ourselves in. I'm ok with paying for software to fill that gap as we have very little resources to create and manage something manual at the moment.

To be honest, we can't wait for Synergi!
